When you start a shift, we collect your GPS location data including:
- Latitude and longitude coordinates
- Timestamp of each location point
- Location accuracy information
- Reverse-geocoded address (street name, city)
Why: To track your movement during shifts and generate location trails for verification and
reporting purposes.
1.2 Photos and Images
When you capture photos during a shift, we collect:
- The photo image itself
- Timestamp when photo was taken
- Location where photo was captured (if available)
- Watermarked metadata (date, time, location, staff name, site name)
Why: To provide timestamped evidence of your presence at specific locations during your
shift.
1.3 Shift Information
We collect information about your shifts including:
- Staff name (as entered by you)
- Site name/location
- Shift start and end times
- Shift duration
- Notes added during shifts
- Pair codes for live viewing
1.4 Device Information
We may collect basic device information:
- Device type and operating system
- App version
- IP address (for server requests)
2. How We Use Your Information
We use the collected information to:
- Provide shift tracking services - Record and display your location trail during shifts
- Generate reports - Create PDF reports with photos, locations, and shift details
- Enable live viewing - Allow authorized viewers to see your live location during active
shifts
- Improve our service - Analyze usage patterns to enhance app performance and features
- Communicate with you - Send important updates about the service (rare)
3. Data Sharing and Disclosure
3.1 Who Can See Your Data
- You: Full access to all your shift data, photos, and reports
- Authorized viewers: People you share your live link or pair code with can view your
location and photos during active shifts
- Your employer/client: If you share shift reports, they can access the information in
those reports
- Service providers: We use Railway (hosting), MySQL (database) to securely store and
process your data
3.2 We Do NOT Sell Your Data
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
3.3 Legal Compliance
We may disclose your information if required by law, court order, or government regulation.
4. Data Storage and Security
4.1 Where Your Data Is Stored
- Location: United States (Railway cloud infrastructure)
- Database: MySQL with automated backups
- Photos: Stored as base64-encoded data in database or cloud storage
4.2 Security Measures
We protect your data using:
- HTTPS encryption for all data transmission
- Secure database with authentication
- Unique pair codes that expire when shifts end
- Regular security updates and monitoring
Note: No method of transmission over the internet is 100% secure. While we strive to
protect your data, we cannot guarantee absolute security.
5. Data Retention
Free Tier: Shift data retained for 7 days, then automatically deleted
Pro Tier: Shift data retained for 90 days
Business Tier: Shift data retained for 1 year
You can delete your data at any time from the app settings.
6. Your Rights (GDPR Compliance)
If you are in the European Union or EEA, you have the right to:
- Access: Request a copy of all data we have about you
- Correction: Request corrections to inaccurate data
- Deletion: Request permanent deletion of your data ("right to be forgotten")
- Export: Download your data in a portable format (JSON/CSV)
- Restrict Processing: Limit how we use your data
- Object: Object to data processing in certain situations
- Withdraw Consent: Withdraw consent at any time (though this may limit app
functionality)
